We Compared The Features of 145 Business Apps: Here's What We Found

Business Apps are not a single feature market: the most common capability, CRM pipelines, appears in only 50.3% of the dataset. We studied 145 Business Apps by pulling the public feature information of each tool, decomposing every product into 12 comparable feature categories, classifying every feature with a seven-label availability scheme, and running the aggregates ourselves. The goal was to understand which features actually matter in Business Apps and what to build if you are shipping your own Business App.

The dataset spans seven workflow families: project and client work management, resource scheduling and time tracking, collaboration and knowledge sharing, sales and revenue operations, marketing, social, and support, finance, spend, and travel, and people and process operations. For each tool we captured task boards, client delivery, resource scheduling, time tracking, messaging, knowledge bases, visual collaboration, CRM, sales engagement, marketing campaigns, customer support, and back-office finance or people workflows, then classified the availability of each feature using the same standardized scheme.

Summary

This study analyzes 145 Business Apps across project and client work management, resource and time tools, collaboration and knowledge tools, sales and revenue tools, marketing and support tools, finance and travel tools, and people and process tools. The dataset captures 12 feature categories and classifies each feature by availability so we can compare what Business Apps actually ship, gate, restrict, or leave absent.

Only two features cross 45% coverage in Business Apps: CRM pipelines at 50.3% and back-office finance and people workflows at 47.6%, which confirms that this category is defined by workflow specialization more than universal breadth.

No feature is universal across the 145-tool dataset, which means Business Apps should not be benchmarked against one horizontal checklist. A credible feature set depends on the workflow being served.

Back-office workflows are broad but rarely free. They appear in 69 tools, but 48 of those implementations are paid only, which makes back-office infrastructure one of the strongest monetization anchors in Business Apps.

CRM has the most fragmented access model in Business Apps. Its 73 implementations split across free limited, paid only, restricted, trial only, and unclear statuses, which means CRM is broad enough to be common but not standardized enough to be packaged consistently.

Task boards are the most freemium-friendly operational feature. They appear in 45 tools, and 23 of those implementations are free limited, which makes task management the cleanest entry hook for operational Business Apps.

Client projects and service delivery is niche but heavily monetized. Only 26 tools offer it, and 21 of those are paid only, which suggests that client-facing delivery workflows are close to revenue and safe to gate.

Time tracking behaves like a revenue feature. It appears in only 32 tools, but 24 of those implementations are paid only, which confirms that billable-hour workflows are treated as monetizable business infrastructure rather than free productivity utilities.

Visual collaboration is the clearest whitespace in Business Apps. Only 6 of 145 tools offer it, which makes diagramming and whiteboard-style collaboration the rarest capability in the dataset.

Sales engagement is category-specific, not horizontal. It appears in 96% of sales and revenue tools but only 24.8% of the full dataset, which means builders should treat it as a sales-stack requirement rather than a general Business Apps feature.

Customer support follows the same pattern. It appears in 68% of marketing and support tools but only 23.4% overall, which confirms that support is a workflow anchor, not a cross-category default.

Free full availability is almost nonexistent across Business Apps. Only two feature instances are free full across all categories, which means free access usually means capped, limited, or restricted access rather than unlimited entitlement.

We built this dataset from scratch. For each of the 145 Business Apps, we inspected public feature information and recorded the availability of 12 feature categories: task boards and project timelines, client projects and service delivery, resource capacity and staff scheduling, time tracking and billable hours, team messaging and shared inboxes, knowledge bases and internal documentation, visual collaboration and diagramming, CRM pipelines and contact management, sales engagement and revenue intelligence, marketing campaigns and social publishing, customer support and live chat, and back-office finance and people workflows. We also captured each tool’s primary workflow and business model. Each feature was classified with one of seven standardized labels: Absent, Free full, Free limited, Paid only, Trial only, Restricted, or Unclear. The full comparison table is below.

Methodology

We analyzed 145 Business Apps based on publicly available information from their homepages, feature pages, product pages, and pricing pages.

We define Business Apps as tools whose primary value proposition is to help businesses manage operations, workflows, teams, customers, finance, productivity, sales, marketing, or administrative processes across one or more business functions. We exclude consumer apps, narrow single-purpose tools, entertainment apps, education apps, healthcare apps, and developer tools unless business use is the central advertised value proposition. For ambiguous tools, we include them only if a company would reasonably adopt the product as a business application rather than a consumer, personal productivity, or vertical-specific tool.

We excluded products that were too narrow, too consumer-oriented, insufficiently comparable, or not clearly positioned around recurring team workflows. For ambiguous cases, we included a tool only when a buyer would reasonably evaluate it as part of a business workflow software stack rather than as a generic utility, single-purpose add-on, or unrelated productivity product.

We stopped at 145 tools because, based on the breadth of the market scan, we estimate that this sample captures the most visible, relevant, and commercially meaningful products across the main workflow software segments covered in the analysis. A small number of niche, regional, or newly launched tools may have been missed, but the dataset is designed to represent the products buyers are most likely to compare when evaluating software for business operations, collaboration, go-to-market, finance, or people workflows.

The Business Apps market includes many individual capabilities, often described with inconsistent terminology across vendors. To make the analysis readable and comparable, we grouped these capabilities into 12 broader feature categories: task boards and project timelines, client projects and service delivery, resource capacity and staff scheduling, time tracking and billable hours, team messaging and shared inboxes, knowledge bases and internal documentation, visual collaboration and diagramming, CRM pipelines and contact management, sales engagement and revenue intelligence, marketing campaigns and social publishing, customer support and live chat, and back-office finance and people workflows.

This categorization avoids two common problems: treating every vendor-specific wording as a separate feature, which would make the analysis too fragmented, and using overly broad buckets, which would obscure meaningful differences between products. Each category is broad enough to support cross-market comparison while still specific enough to reflect real differences in product strategy, packaging, and monetization.

For each feature, we applied a standardized availability label based on the information published by each vendor. Absent means the feature is not available, or does not appear to be available, based on public information. Free full means the feature is available for free without meaningful usage limits. Free limited means the feature is available for free, but with usage, volume, functionality, seat, project, channel, contact, automation, or access limits.

Paid only means the feature is available only through a paid plan. Trial only means the feature is available only during a free trial or temporary evaluation period. Restricted means the feature depends on a specific integration, region, device, partner, plan configuration, beta program, add-on, or other restricted access condition. Unclear means the feature appears to be present, but public information does not clearly indicate whether it is free, paid, trial-based, limited, or restricted.

When public information was incomplete or ambiguous, we avoided inferring availability beyond what could reasonably be supported by the vendor’s own pages. In those cases, we used the Unclear label rather than assuming that a feature was free, paid, or fully available.

Because vendors often bundle related capabilities differently, this analysis should be read as a market-level comparison of advertised feature availability and packaging, not as a technical audit of every product’s full implementation depth. A feature marked as present may vary substantially in sophistication, automation, integrations, reporting, governance, and enterprise readiness across tools.

Feature penetration percentages are calculated across the full 145-tool dataset. Availability-status percentages are calculated only among tools where the feature is present, so that paywall, free, restricted, trial-only, and unclear rates reflect the packaging of actual implementations rather than being diluted by tools that do not offer the feature at all.
