We Compared The Features of 123 Restaurant Management Software: Here's What We Found

Analytics is the closest thing to a universal layer in restaurant management software, but almost nobody gives it away. We built a dataset of 123 restaurant software products, classified every feature with a seven-label availability scheme, and ran the aggregates to see what actually matters if you are shipping your own Restaurant Management Software.
The dataset spans seven workflow families: restaurant POS operations, reservations and guest management, inventory and recipe cost control, labor scheduling and team operations, online ordering and delivery management, kitchen production and order routing, and business intelligence and performance reporting. For each tool we recorded a broad restaurant-operations feature taxonomy and classified availability to capture actual packaging rather than marketing claims.

Summary
This study analyzes the feature landscape of 123 Restaurant Management Software products captured from public feature and pricing information. The dataset covers restaurant POS operations, reservations and guest management, inventory and recipe cost control, labor scheduling and team operations, online ordering and delivery management, kitchen production and order routing, and business intelligence and performance reporting, with 12 feature categories classified by availability status.
Analytics, forecasting, and multi-location reporting appears in 122 of 123 products, which means reporting has become the default layer across Restaurant Management Software rather than a specialist feature.
Analytics is almost never truly free. Among products where analytics appears, 89% make it paid-only, which confirms that the most commoditized feature is also one of the cleanest monetization surfaces.
Accounting, financial controls, and compliance appears in 92% of products, which makes it the second-most common feature group in the dataset. Its 52% restricted share suggests that many vendors support the workflow through integrations, partner systems, or conditional access rather than fully native finance modules.
Point of sale and payment processing appears in 80% of the dataset, but 56% of present implementations are restricted. That means POS is widely connected to restaurant management workflows, but often depends on processors, hardware, integrations, or specific operating environments.
Restaurant POS operations is the only workflow where every broad feature appears in every product, which makes it the broadest horizontal category. POS vendors are not just selling checkout, they are selling the full operating stack.
Online ordering and delivery management is the most suite-like non-POS workflow. It has 100% penetration for POS/payment, online ordering, accounting/compliance, and analytics, which means many ordering vendors now compete as operational platforms rather than storefront tools.
Delivery aggregation is much rarer than online ordering, appearing in only 37% of products compared with 56% for online ordering. It is also the most restricted feature, with 72% of present implementations restricted, which confirms that marketplace connectivity is a platform-dependent capability.
Recipe costing is present in only 50% of products, even though it is universal in both POS and inventory categories. Its 33% unclear rate makes it one of the least transparently packaged back-office features.
Labor scheduling appears in only 45% of products, which is lower than many buyers would expect from restaurant operations software. When present, it is rarely free, with no free-full implementations and only four free-limited cases.
HR, onboarding, and team communication has the highest unclear rate of any feature at 40% among present implementations. That suggests vendors use inconsistent language around staff communication, training, onboarding, tasks, and employee records.
Free-full access is extremely rare across Restaurant Management Software. Only six feature groups have any free-full examples at all, which means builders should treat free access as an acquisition mechanic, not as the category default.

We built this dataset from scratch. For each of the 123 Restaurant Management Software products, we inspected public feature information and recorded the availability of 12 feature categories: point of sale and payment processing, table service and floor management, reservations and guest profiles, online ordering and branded storefronts, delivery aggregation, kitchen display and production routing, inventory and supplier management, recipe costing, labor scheduling and payroll, HR and team communication, accounting and compliance, and analytics. We define Restaurant Management Software as tools whose primary value proposition is to help restaurants manage operations, including reservations, tables, orders, menus, staff, inventory, payments, delivery, customer communication, reporting, or front-of-house and back-of-house workflows. We exclude generic POS systems, delivery marketplaces, accounting tools, booking tools, inventory software, payroll tools, and hospitality tools unless restaurant operations management is a central advertised feature. For ambiguous tools, we include them only if restaurant operators would reasonably describe the product as restaurant management software rather than a narrower POS, booking, delivery, or inventory tool.
Our dataset focuses only on tools that are sufficiently comparable for pricing and feature-availability analysis. We excluded products when the available information was too thin, when the product was not clearly active, when the positioning was too far from restaurant operations, or when the feature set could not be compared consistently with the rest of the market.
We stopped at 123 products because, based on the breadth of the market scan, we estimate that this sample captures the vast majority of visible, commercially meaningful restaurant software products across the main restaurant operations categories. A small number of niche, regional, newly launched, or lightly documented products may have been missed, but the dataset is designed to represent the most relevant and comparable products in the category rather than every marginal edge case.
The restaurant software market contains many overlapping product types, and vendors often describe similar capabilities using different terms. To make the analysis readable and comparable, we grouped individual features into 12 broader feature categories: point of sale and payment processing; table service and floor management; reservations, waitlists, and guest profiles; online ordering and branded storefronts; third-party delivery order aggregation; kitchen display and production routing; inventory, purchasing, and supplier management; recipe costing and menu profitability; labor scheduling, timeclock, and payroll; HR, onboarding, and team communication; accounting, financial controls, and compliance; and analytics, forecasting, and multi-location reporting.
This categorization avoids two common problems: treating every vendor-specific feature name as a separate feature, which would make the analysis too fragmented, and using overly broad buckets, which would obscure meaningful differences between front-of-house, back-of-house, workforce, financial, and reporting capabilities.
For each feature category, we applied a standardized availability label based on information published by each vendor. Absent means the feature is not available, or does not appear to be available, based on public information. Free full means the feature is available for free without meaningful usage, volume, functionality, or access limits. Free limited means the feature is available for free, but with usage limits, volume limits, seat limits, location limits, reduced functionality, or other meaningful restrictions.
Paid only means the feature is available only through a paid plan, paid module, paid add-on, custom-priced package, or commercial subscription. Trial only means the feature is available only during a temporary free trial or evaluation period. Restricted means the feature depends on a specific integration, device, region, payment processor, marketplace, partner, hardware setup, implementation package, beta program, or other access condition. Unclear means the feature appears to be present, but public information does not clearly indicate whether it is free, paid, trial-based, limited, or restricted.
When public information was incomplete or ambiguous, we avoided inferring availability beyond what could reasonably be supported by the vendor's own materials. In those cases, we used the Unclear label rather than assuming that a feature was free, paid, restricted, or fully available.
For the quantitative analysis, we counted a feature as present when it was labeled Free full, Free limited, Paid only, Trial only, Restricted, or Unclear. We counted a feature as not present only when it was labeled Absent. This approach reflects the difference between whether a capability appears to exist and whether its commercial availability is clearly disclosed.
All percentages were calculated against the retained dataset of 123 products unless otherwise stated. For availability-label breakdowns, percentages were calculated only among products where the feature appears to be present. This prevents absent products from distorting the analysis of how available features are packaged, monetized, or restricted.
