We Compared The Features of 123 Dental Practice Software: Here's What We Found

Dental practice software is broad, but it is not generous. We analyzed 123 dental software tools, built the dataset ourselves from public product information, and classified every feature with a seven-label availability scheme to separate what vendors advertise from what buyers can actually access. The goal is simple: to figure out which features actually matter in dental practice software and what to build if you are shipping your own dental product.
The dataset spans six primary workflow families: general practice management, imaging and diagnostic workflows, patient engagement and virtual care, enterprise practice management, revenue cycle and insurance, and treatment planning and labs. For each tool, we captured the major clinical, administrative, financial, imaging, patient-facing, and analytics capabilities, then classified access in a way that reflects packaging rather than marketing claims.

Summary
This study analyzes the feature landscape of 123 dental practice software tools across general practice management, imaging and diagnostic workflows, patient engagement and virtual care, enterprise practice management, revenue cycle and insurance, and treatment planning and labs. The dataset captures 12 comparable feature categories and classifies each one by availability, so the analysis shows both feature presence and actual access model.
Six features have effectively become core infrastructure in dental practice software. Scheduling, charting, treatment planning, patient communication, imaging, and analytics all appear in more than two-thirds of the dataset, which means a broad dental platform missing them will feel incomplete.
Common does not mean free in dental practice software. Appointment scheduling appears in 92 tools, but 84.8% of present implementations are paid only, which confirms that table-stakes features are still monetized by default.
Billing is the cleanest paywall signal in the category. It appears in 75 tools and 92.0% of present implementations are paid only, which means revenue workflows are treated as commercial infrastructure rather than a freemium surface.
Insurance workflows are less universal than billing. Claims, eligibility, and attachments appear in 52.8% of the dataset, which suggests many vendors support internal revenue workflows before they tackle payer-facing complexity.
AI radiograph analysis remains a differentiator rather than a default capability. It appears in only 28.5% of tools, and among present implementations, restricted and unclear statuses together account for 57.2%.
Orthodontic monitoring is also a specialist layer. It appears in 30.1% of tools, which confirms that appliance workflows, remote monitoring, scanners, labs, and aligner ecosystems still sit outside the normal PMS core.
Teledentistry and remote consultations are among the least common broad capabilities at 26.0% penetration. The feature is also more often restricted than paid only, which suggests availability often depends on geography, workflow type, edition, or partner network.
Digital forms are less commoditized than patient communication. Forms appear in 52.0% of tools versus 71.5% for communication, which means paperless intake is important but not yet as universal as messaging, recall, and reviews.
Imaging has the highest restricted-access burden among broad features. Dental imaging appears in 67.5% of tools, but 30.1% of present implementations are restricted, which reflects hardware, sensors, cloud storage, viewers, and integration dependencies.
Analytics is widely present but poorly packaged. It appears in 68.3% of the dataset, yet 20.2% of present implementations are unclear, which suggests vendors often market dashboards without clearly disclosing access or plan boundaries.
The overall pattern is a split market. Broad practice operating systems win on coverage, while specialist workflow layers win on depth, which means builders should decide early whether they are selling a full dental platform or a focused add-on.

We built this dataset from scratch. For each of the 123 dental practice software tools, we inspected public feature information and recorded the availability of 12 feature categories: appointment scheduling, patient records and charting, treatment planning, billing and revenue cycle, insurance claims and eligibility, patient communication, digital forms and intake, dental imaging, AI radiograph analysis, orthodontic monitoring, analytics, and teledentistry. Each feature was classified with a standardized availability label, and the full comparison table is below.

We define dental practice software broadly enough to include practice management systems, enterprise dental platforms, orthodontic practice management systems, dental imaging and diagnostic tools, AI radiograph analysis tools, treatment planning and lab workflows, revenue cycle and insurance tools, patient engagement platforms, digital forms tools, recall and reviews automation tools, teledentistry tools, and analytics platforms built specifically for dental organizations.
We excluded tools that were too generic, too marginal, or not sufficiently comparable for pricing and feature analysis. This includes generic healthcare practice software, clinic automation tools, EHR systems, appointment schedulers, billing tools, medical apps, broad healthcare software, generic CRM tools, general accounting software, generic video consultation tools, generic document-signing products, and general marketing automation platforms unless dental-specific practice management or dental workflows were presented as a central advertised use case.
For ambiguous cases, we included a tool only when a buyer would reasonably describe it as dental software rather than as a generic business, healthcare, communication, analytics, or productivity product that happens to be usable by dental practices.
The dataset is designed to represent the most visible, relevant, and commercially meaningful products in the dental software market rather than every small regional, legacy, custom, or marginal tool. A small number of niche, regional, newly launched, or lightly documented products may have been missed, but the sample is broad enough to support category-level analysis of feature availability and monetization patterns.
The dental software market contains many overlapping features, often described with inconsistent terminology across vendors. For example, similar capabilities may be described as patient engagement, recall automation, patient messaging, reputation management, online booking, paperless forms, treatment presentation, imaging workflows, diagnostic support, claims attachments, revenue cycle automation, or practice analytics depending on the vendor.
To make the analysis readable and comparable, we grouped individual vendor claims into broader feature categories: appointment scheduling and chairside workflow management, patient records and clinical charting tools, treatment planning and case presentation workflows, billing, payments, and revenue cycle management, insurance claims, eligibility, and attachments processing, patient communication, recall, and reviews automation, digital forms, intake, and consent management, dental imaging capture, viewing, and storage, AI radiograph analysis and diagnostic support, orthodontic monitoring and appliance workflow management, analytics, dashboards, and performance benchmarking, and teledentistry, referrals, and remote consultations.
This categorization avoids two common problems: treating every vendor-specific phrase as a separate feature, which would make the analysis too fragmented, and using overly broad buckets, which would hide important differences between products that only appear similar at a high level.
For each feature, we applied a standardized availability label based on the information published by each vendor. Absent means the feature is not available, or does not appear to be available, based on public information. Free full means the feature is available for free without meaningful usage limits. Free limited means the feature is available for free, but with usage, volume, functionality, seat, storage, workflow, or access limits.
Paid only means the feature is available only through a paid plan, paid module, custom-priced package, add-on, or commercial contract. Trial only means the feature is available only during a free trial or temporary evaluation period. Restricted means the feature depends on a specific integration, device, scanner, sensor, region, payer connection, partner, hardware setup, product edition, beta program, clinical workflow, or other restricted access condition.
Unclear means the feature appears to be present or adjacent to the product, but public information does not clearly indicate whether it is free, paid, trial-based, limited, restricted, or fully available. When information was incomplete or ambiguous, we avoided inferring availability beyond what could reasonably be supported by the vendor's own published materials.
In those cases, we used the Unclear label rather than assuming that a feature was free, paid, fully available, or included by default. This makes the analysis intentionally conservative: features were only counted as clearly free, paid, or restricted when the vendor's public information supported that classification.
When unusual or inconsistent entries appeared, we standardized them only when the intended meaning was clear from the broader product context. Otherwise, we kept the more conservative label or excluded the line from downstream interpretation, which prevents isolated anomalies from distorting the broader market-level conclusions.
Feature penetration percentages are calculated across the full 123-tool dataset. Availability-status percentages are calculated only among tools where the feature is present, so paywall, free, restricted, and unclear rates reflect the packaging of actual implementations rather than being diluted by tools where the feature is absent.
